[A] Budget: Looking for Proposal
[B] Scope of Service:
(1) Vendor needs to provide digital document to microfilm scanning, digitization and conversion service in pdf file format.
- Digitization services shall include document preparation, image capture, image quality control, image conversion, index capture, data file output and method of storage options and physical file transport
- Microfilm backups of all physical public records with permanent retention are the sole permitted, legal replacement for public records
- highest level of accuracy and data integrity, including image to page inspection of all pages to ensure correct page count and highest image quality, as determined by a quality control specialist.
- Maintain documentation tracking the movement of source records sent for digitization and returned following completion of scanning process
- Verify receipt and condition of returned files.
- Scan all single- and double-sided documents within each file folder, in the order found in the physical file folder.
- Provide an index of all PDF/A file names in a comma separated value (CSV) file. Saved to the encrypted portable hard drive
(2) Approximately work volume will be 50,000 up to 100,000 images of Digitization - Small Documents, 50,000 up to 100,000 images of Digitization- Standard Documents, 50,000 up to 100,000 images of Digitization- Large Documents, 60,000 files of Digital Indexing and 50,000 images Up to 100,000 images of Microfilm Indexing.
(3) All questions must be submitted no later than March 9, 2020.
[C] Eligibility:
- Onshore (USA Only);
[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
