Government Authority located in Providence, Rhode Island; USA based organization looking for expert vendor for community engagement workshop facilitation services.
[A] Budget: Up to 40,000 USD
[B] Scope of Service:
(1) Vendor needs to provide community engagement workshop facilitation services to the government authority located in Providence, RI.
• Be inclusive and accessible for a diverse range of participants - across factors like language and physical ability (for example: include multilingual facilitators)
• Encourage participation from both pre-engaged and new audiences
• Educate participants on the comprehensive planning process and opportunities and challenges in urban development and land use
• Provide a format that allows for substantive participation through multiple formats
• Build a sense of community ownership over the comprehensive plan update process
• Gather useful and actionable data for the comprehensive plan update process
1. Pre-Event Responsibilities:
• Four check-in meetings (1 to 1.5 hours in length) with staff
• Design event “run of show” with input from staff
• Prepare engagement activities and materials with feedback from staff
• Procure event space, audio and visual, and other logistics (i.e., translation services, food, tables and chairs, childcare)
• Design marketing materials and coordinate promotion of the event (particular attention to reaching diverse and demographically representative audience)
• Design and manage invitation and event registration process
• Recruit and prepare facilitators for the event (it is expected that the contractor will provide most facilitators), however, the contractor should also provide facilitation training for a number of city staff
2. Event Management Responsibilities:
• Coordinate logistics on the event day
• Lead facilitation of participation activities and small group discussions
• Capture and organize public input in a thorough and representative manner
3. Post-Event Responsibilities:
• Organize and hand off data gathered from the events to project team
• Two wrap-up check-in meetings with staff
(2) A pre-proposal conference will be held on November 15, 2022.
[C] Eligibility:
- Onshore (USA Organization Only);
[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
