[A] Budget: Looking for Proposals
[B] Scope of Service:
Vendor needs to provide a web-based workforce management software
- Approximately 350-400 employees will use this program daily based on the academic semester (fall, spring, & summer). Employees may hold multiple positions, which require separate functionality for each position,
- The WMP must be accessible via the internet to allow employees to access the system remotely at any time. This must include Single Sign-on (SSO) capabilities and be compatible with Peoplesoft, which are both utilized by the University. Preference will be given to systems that have an easy to navigate user app available for free download,
- Clearly define system requirements and specifications for integration of data between the vendor’s system and the University’s Student Information (Peoplesoft) and other outside systems,
- Information must be securely protected.
- The system includes preventative functions to avoid the creation of duplicate profiles,
- The WMP must have web-based time clock capabilities and should be able to limit time clock procedures to specific, configured devices. I.e., computer, tablets, etc,
- Time clock capabilities must include: ability to track clock in and clock outs, limit employees to clock in for only one position at a time, restrict employees to only clock in for scheduled shifts, restrict how early or late an employee can record a time punch based upon scheduled
shifts, and set these limitations based upon employee position, not only based upon the person,
- The WMP must have the capability to collect all employee’s work availability. This application must be able to collect availability for multiple positions for one employee for both shift based and hourly based scheduling. In addition, the WMP must be able to accept vacation and requests for time off,
- The WMP must be able to generate web-based schedules in multiple ways. The program must have a manual setting to create schedules as well as a self-generating schedule,
- System must be able to integrate with IMLeagues.com (Intramural Sports/Group Exercise/Facility Reservation) website and import game/class schedules to assist in staff scheduling,
- 24/7 service support with clearly defined procedures for reporting and resolving problems of all categories, such as system down to sporadic tool failure,
- These procedures must include voice and web contact methods and identifying how, when and under what circumstances URI will work directly with a support technician to resolve a problem as opposed to a trouble ticketing procedure.

[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
