[B] Scope of Service:
Vendor needs to provide urban trail network branding and signage service.
1) Project Administration (ongoing throughout project)
- Prepare and submit monthly progress reports to the city. Monthly progress reports shall outline work-hours and costs expended, and a statement as to whether or not sufficient work-hours remain to complete the effort as proposed.
- Attend regular (at least biweekly) meetings or conference calls with the city’s project manager to discuss findings and critical issues and review project status. The consultant shall provide meeting minutes.
- Monitor the rate of progress on the Project and acceptable fulfilment of work.
2) Engage internal and external stakeholders and partners.
- Conduct a project initiation or “kick off” meeting with an advisory group consisting of representatives from various departments and stakeholders involved in the project. The consultant shall be responsible for all meeting materials and notes.
- Conduct bi-weekly calls with the project manager and other key team members to provide status updates and collectively make decisions regarding the project. The consultant shall be responsible for all meeting materials and notes.
- Conduct several advisory group meetings with representatives from various departments and stakeholders involved in the project as needed throughout the length of the project to keep them informed and involve the group in key decisions. The Consultant shall be responsible for all meeting materials and notes.
3) Create a logo and supportive slogan for the Urban Trail Network.
- Conduct a study to identify core strengths and brand options for the providence urban trail network. The study shall involve but is not limited to review of relevant plans as well as partner brands and logos, site visits, facilitation of a focus group, and electronic survey to community members. A variety of options shall be explored, with at least three (3) initial logo design concepts and at least three (3) slogan options chosen to present to the advisory group. Concepts should consider other existing brands and logos for related projects and incorporate signage with flexibility to allow accommodation of other brands that overlap with the urban trail network.
- Identify, with guidance from the city and advisory group, one final logo and associated slogan for refinement. The consultant shall provide artwork in in image and vector formats, including eps, jpg and adobe illustrator, in both full colour and black and white for unlimited use by the city of providence in perpetuity for materials and marketing related to the providence urban trail network.
4) Create sign types.
- Define the types of signs needed to mark the hierarchy of the urban trail network.
- The final design guidelines should also include construction-ready details for all sign types and required footings or other necessary structural details, stamped by a certified engineer, formatted in AutoCAD, and suitable for printing. All final sign details shall be provided in PDF, AutoCAD, vector (i.e. pdf, ai, pst) and image (i.e. jpg, gif, eps) format.
5) Create a Signage Master Plan.
- Develop a phased master plan that identifies specific sign types for specific locations throughout the entire existing and planned providence urban trail network. The city will provide guidance on the phasing of construction of the urban trail network that will help guide phasing of signage installation. - The signage master plan shall include specific graphics for each sign, including the directional signs (what destinations will be pointed to from each sign location, walking and biking distances to such locations from sign locations, etc.) and all content for the interpretive signs and other sign types.

Performance of the work will be Offsite. Vendor needs to carry work in their office location.
