Government Authority located in Rhode Island; USA based organization looking for expert vendor for on-line registration and event management software.
[A] Budget: Looking for Proposals
[B] Scope of Service:
(1) Vendor needs to provide on-line registration and event management software shall produce a quality-event program that will provide technology for registration, check-in, badge printing, reporting and comprehensive metrics that enhance the attendee experience.
- This solution should include both rented software and hardware and a service component that includes analytics to help improve attendee satisfaction and promote an efficient program.
- The contractor shall provide a complete event solution that includes all hardware, software, scanners, kiosks, computers, printers, personnel, travel, material, shipping, etc.
- On-line registration portal at a customized site for 4-5 categories of registrants; some categories are able to attend all sessions; others are limited and payment amounts will differ.
- Ability to process credit card payments.
- Ability to email on behalf of the host to prospective attendees in the private and federal sectors to assist with marketing.
- Online registration that is used at check-in. A confirmation is sent to attendee after attendee has successfully registered.
- At check-in the attendee will bring confirmation barcode from a printed confirmation email or on smart phone. The barcode confirmation may be scanned at registration check-in station. Alternately an attendee may type in their last name at the kiosks available at check-in.
- Set the matchmaking appointments between prime agencies and small businesses based on NAICS codes and keywords.
- An app to show the schedule, hotel layout, matchmaking appointments and any last-minute changes to the event.
- Software to print name badges and if needed, individual appointments during the 2-day event.
- Provide post-event reports regarding attendees, matches, etc.
- Branded event app for SMART Phones and Tablets designed for digital scheduling and SMS notification.
- Opt-in or Opt-out - A method of attendee giving permission to either contact or not contact attendee after an event.
- Contractor shall provide project management, customer service and set-up or on-site technicians to ensure event technology and interfacing operates efficiently. A project manager, technician and assistant will be on-site for approximately 2 1.2 days as an extension of volunteer and event staff.
(2) All questions must be submitted no later than August 6, 2019.

- Onshore (USA Only);
[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
